How to convert a scanned bank statement
to Excel.
A scanned statement is a picture of text, not text. Before any tool can turn it into a spreadsheet, the words and numbers have to be recognised. Here’s how to tell if your statement is scanned, and what to do about it.
How to tell if your statement is scanned
Open the PDF and try to select a single word with your cursor. If you can highlight words and copy them into a text editor, the PDF already has text and you can convert it directly. If the cursor draws a box over the whole page, or copied text comes out empty, the statement is an image: a scan, a photo, or a PDF made from a screenshot.
Best option: get the original PDF from your bank
Most online banking lets you download statements as PDFs with real text, and many banks also offer CSV or OFX exports of your transactions. This is always more accurate than recognising text from a scan, so check your online banking first, even for older months.
If you only have a scan: run OCR first
OCR (optical character recognition) adds a hidden text layer to a scanned PDF. Adobe Acrobat has a Scan & OCR tool that does this, and free tools such as OCRmyPDF can too. Scan at 300 dpi or higher, keep the page straight, and use good light if you are photographing paper. OCR mistakes numbers more easily than words, so check amounts carefully afterwards.
Then convert the text PDF
Once the PDF has selectable text, upload it to BankPDFExport. The editable review table makes it easy to spot OCR errors, such as a 5 read as an S or a missing decimal point, before you download Excel, CSV or QuickBooks files. If the statement shows running balances, the balance checks flag rows where the numbers don’t add up, which is exactly where OCR errors tend to show.
Why BankPDFExport doesn’t do OCR itself
OCR on financial documents usually means sending them to an external recognition service. BankPDFExport processes statements on its servers in the EU and deletes them after conversion, without third-party AI or OCR services. Running OCR yourself keeps that choice in your hands.
