How to import a PDF bank statement
into QuickBooks.

QuickBooks can’t read a PDF statement, but it can import the same transactions from a CSV or QBO file. Here’s how to convert the PDF and bring it into QuickBooks Online or QuickBooks Desktop.

Choose CSV or QBO

QuickBooks Online accepts both CSV and bank files such as QBO. CSV is the simplest: it only needs a date, a description and an amount, and you map the columns during upload. QBO (Web Connect) carries account details and a unique ID for every transaction, which helps QuickBooks avoid duplicates, but it also needs your bank’s details to be accepted. QuickBooks Desktop imports bank transactions as Web Connect (QBO) files.

If you are unsure, start with CSV in QuickBooks Online. Use QBO for QuickBooks Desktop, or when you already have a QBO file from your bank to copy the account details from.

Step 1: Convert the PDF statement

Upload the PDF to BankPDFExport and review the transactions against your statement. Fix anything that looks off, then download a CSV, or choose QuickBooks (.qbo) and enter your bank name, routing or bank ID, account number and QuickBooks financial institution ID (INTU.BID). You can download both formats from the same conversion.

Step 2: Remove transactions QuickBooks already has

Check which dates are already in QuickBooks for that account, from a bank feed or an earlier import. Delete overlapping rows from the CSV before uploading. Importing the same period twice is the most common cause of duplicate transactions.

Step 3a: Upload to QuickBooks Online

Go to Transactions (or Banking) → Bank transactions, open the menu next to Link account and choose Upload from file. Select your CSV or QBO file and choose which QuickBooks account the transactions belong to.

For a CSV, map the columns: Date to the date column, Description to the description, and Amount to the single amount column (money out is already negative in BankPDFExport’s CSV). Leave the balance column unmapped. Confirm the date format matches the file, then finish the upload. The transactions appear in the For review tab, ready to categorise and match.

Step 3b: Import into QuickBooks Desktop

In QuickBooks Desktop, go to File → Utilities → Import → Web Connect Files and choose the QBO file. QuickBooks asks you to link it to an existing bank account or create a new one. The transactions then appear in the Bank Feeds center for review. If QuickBooks rejects the file, the institution ID is the usual cause: copy it from a QBO file your bank has supplied before.

Can I upload a PDF directly into QuickBooks?

No. QuickBooks imports structured files such as CSV and QBO, so the PDF has to be converted first.

Why does QuickBooks show my money out as money in?

The amount sign is wrong in the file. Money out must be negative in a single amount column. BankPDFExport’s CSV uses signed amounts already.

Where do I find the INTU.BID for a QBO file?

Open a QBO file previously downloaded from your bank in a text editor and look for INTU.BID, or ask your bank. If you can’t find it, use CSV with QuickBooks Online instead.
